EASY

Introduction

EASY has been built on an Open Source platform, and utilises the MySQL database engine.

The system is ESR compliant, and Giltbyte has an agreement with the NHS ESR Central Team at Warwick to receive and use the ESR Generic Interface files. EASY also supports the input of data via the ESR web ADI facility.

EASY is a secure system using S.S.L. encryption, and is delivered to the user through the EASY web server via a web browser.

The system evolves through EASY user requests, and the following modules have been released:

Expenses

The Expenses module presents the employee with an electronic expenses claim form. The system takes the claimant through a logical sequence, making validation checks prior to submitting the claim to their manager for authorisation.

The process of referring Expense claims to the ESR is enhanced through on-line validation making the claims more accurate, and requiring little or no intervention by the Finance staff before the data is extracted by EASY to the ESR.

Time and Attendance

The EASY T&A module will deliver instant benefit by providing Managers with a list of their current staff, and an input screen to enable a summary of staff time and attendance to be input for the current month. The system also has a facility to enable an employee to complete an electronic timesheet for authorisation by their manager. Data can be fed straight into the ESR or scanned by the Payroll Department first.

The T&A Reports enables the manager to view the time and attendance data entered for the current and previous pay periods.

eForms

The EASY eForms module enables managers to complete appointment, changes, and termination forms electronically. Once the forms have been authorised by the manager they are then available for the Payroll Department to accept/reject the input, and update ESR accordingly.

Payslip

The ESR payslip file is uploaded into the EASY database after each pay period, and the system provides an easy to find and easy to read payslip on screen. Payslips can be stored for retrieval over many years.

The user can locate an employee by searching on any combination of the following items: last name, initials, NI number, assignment number or employee number. The EASY system also provides a series of filters to reduce the number of payslips found.

Reports can be produced from the payslip data to the Trust’s specification.

Financial Reports

The ESR Ledger Interface file is uploaded into the EASY database after each pay period. EASY takes this data and allows the user to format meaningful reports for the Trust, e.g. Nominal Roll, Enhancements and Overtime, Pay and General Ledger Elements, etc.

Employee Self Service

EASY provides a secure environment that enables the employee to complete their timesheet and expenses electronically, submit leave requests and to view their payslips.

EASY User Community

The on-going development of EASY is driven by our active user community. Where a need is identified a user consortium is formed to assist in the design and development of the EASY module, which is then released to the EASY community at an economic rate.
